QR Codes for Hotels: Check-In, WiFi, Room Service & Guest Experience

QR Codes for Hotels: Check-In, WiFi, Room Service & Guest Experience

Hospitality is about delivering a seamless experience. Every friction point — long check-in queues, searching for the WiFi password, waiting for room service menus — degrades the guest impression. QR codes eliminate these friction points elegantly.

1. Contactless Self Check-In

The hospitality industry's most impactful QR use case. Guests receive a QR code via email or SMS before arrival. They scan at a dedicated kiosk (or at the front desk) to:

  • Verify identity
  • Choose room preferences
  • Receive digital room key
  • Complete the check-in without waiting in line

For boutique hotels and B&Bs without 24/7 front desk: QR code at the entrance unlocks the key lockbox or sends a door code. Full self-service for late-night arrivals.

For hotels with existing PMS (Property Management Systems): most enterprise systems (Opera, Cloudbeds, Mews) now support QR-based mobile check-in with API integration.

2. Room WiFi QR Code

Every hotel room should have a WiFi QR code. Printing it on a card next to the TV or on the welcome card eliminates the most common guest question: "What's the WiFi password?"

Create a WiFi QR code for your hotel rooms — one per room if networks differ, or one property-wide QR for a shared guest network.

Best placement:

  • Welcome card on the desk
  • Next to the TV (where guests naturally sit)
  • In the hotel directory booklet
  • At the lobby entrance

3. Digital Room Service Menu

A printed room service menu is expensive to produce, goes out of date, and gets lost or damaged. A QR code on the desk or bedside table links to:

  • Full food and beverage menu with photos and prices
  • Live availability (items that are sold out are removed)
  • Allergy information
  • Order form integrated with your kitchen

For properties using Toast, Square, or a hospitality POS: the QR can send the order directly to the kitchen, cutting out phone calls entirely.

Create a room service menu QR code.

4. Local Area Guide

Guests always ask: "Where should I eat? What should I see?" A QR code on the desk or lobby that links to a curated local guide:

  • Nearby restaurants (with your honest recommendations, not just ads)
  • Things to do in the area
  • Transportation options
  • Map with walking distance markers
  • Reservation links for popular spots

This guide can be a Notion page, Google Doc, or your own website page — updated seasonally without reprinting. Guests appreciate the personalization over a generic tourist brochure.

5. Hotel Facilities and Services

QR codes throughout the property linking to relevant information:

Pool and spa: QR near the entrance → booking system for spa treatments, pool time slots, or fitness class schedule.

Gym: QR on equipment → proper use guide and workout plans.

Business center: QR for printer access, video conference room booking, or printing instructions.

Bar and restaurant: QR at each table → full menu, happy hour deals, and reservation booking for dinner.

6. Check-Out and Feedback

Express check-out: QR on the back of the door links to a mobile check-out form. Guest submits, key is deactivated automatically. No queue at reception.

Satisfaction survey: QR on the checkout receipt or in a departure email → brief satisfaction survey. Capture issues before guests post negative reviews.

Review request: QR linking to TripAdvisor, Google Reviews, or Booking.com review page. Guests who had a great stay are most likely to review immediately after checking out.

Create a Google review QR for your hotel.

7. Housekeeping and Maintenance

Do Not Disturb / Make Up Room: QR on the door handle card lets guests update their housekeeping preference without a physical sign. Connects to PMS to notify housekeeping staff.

Maintenance request: QR in the room links to a simple form: room number (pre-filled), issue type, description. Logged directly to maintenance team without going through reception.

8. Contactless Payments at Hotel Facilities

For bars, restaurants, and spa: QR codes on the bill link to a payment page. Guest pays on phone, signs digitally. Eliminates credit card handling at the table.

For properties serving Indian guests: UPI QR codes at restaurant and bar counters. Generate a UPI QR for your hotel's facilities.

Implementation Priority for Hotels

  1. Immediate: WiFi QR in all rooms + Google review QR at check-out
  2. Week 2: Digital room service menu QR + local guide QR
  3. Month 1: Self check-in flow + express check-out QR
  4. Ongoing: Spa/facility booking QRs + maintenance request QR
